Privacy Policy

This Privacy Policy explains what personal data ZOTS collects when you use zots.pt or contact the studio, why we collect it, and how we keep it safe. We follow the EU General Data Protection Regulation (GDPR).

1. Who we are

ZOTS is a floral, decor and event design studio operated by Marina Zots, based in Portugal and working since 2010. For any privacy question contact geral@zots.pt or +351 924 972 820.

2. What we collect

• Contact data you submit through the brief form — name, phone or WhatsApp number, email, Instagram handle.
• Project data — event type, mood, guest count, event date, location and any message you choose to share.
• Technical data logged by our hosting and form provider — IP address, browser, time of submission.
• Analytics data — anonymous usage statistics, collected only if you accept cookies (see section 6).

3. Why we use it

• Reply to your inquiry and prepare a quote or proposal.
• Confirm dates, send invoices and coordinate deliveries.
• Keep a record of past projects for accounting and legal obligations.
• Understand which pages are used, in aggregate, to improve the site.

We do not send marketing emails, do not sell data, and do not share it with third parties for advertising.

4. Form processing

The brief form is submitted through FormSubmit, a third-party form-relay service that delivers your message to our studio inbox and processes it solely for that purpose. See formsubmit.co/privacy.

5. Storage & retention

Inquiries are kept in our email and project files for as long as necessary to handle your request and to meet Portuguese tax and accounting law (typically 10 years for invoiced projects, shorter for inquiries that do not lead to a project).

6. Cookies

On your first visit the site asks whether you accept cookies. Until you accept, no analytics or advertising cookies are set. If you accept, we use Google Analytics 4 to measure site usage in aggregate; if you decline, only the technical storage needed to remember your choice is used.

You can change your choice at any time from the cookie notice link in the site footer. Fonts are loaded from Google Fonts, which may set technical cookies on its own domain — see policies.google.com/privacy.

7. Your rights

Under GDPR you have the right to access, correct, export or delete the personal data we hold about you, and to withdraw consent at any time. Send any request to geral@zots.pt and we will respond within 30 days.

You also have the right to lodge a complaint with the Portuguese data protection authority (CNPD) at www.cnpd.pt.

8. Complaints — Livro de Reclamações

Under Portuguese law (Decreto-Lei n.º 156/2005), consumers may submit a complaint through the electronic complaints book:

9. Security

We use HTTPS across the site, store project data on access-controlled accounts, and never share your contact details outside the studio team and any vendors strictly required to deliver your project (couriers, venues, contractors).
